User and Setup Guide

Introduction

Thank you for selecting Memories Out Loud to be your Audio Guestbook for your event. In the following Guide you will find information to help you setup your Audio Guestbook, get the most out of your rental at your event and how to return your rental so you can receive your final product.

Please confirm that all items listed in this section have been included in your package. 

Please ensure that you return ALL items at the end of your rental period in the original packaging in order not to incur additional charges.   

How to Setup your Rental

Now that you have received your Audio Guestbook, please connect the Audio Guestbook to verify that it is in working order:

  • Connect the Handheld headset to the Telephone Base.  There is jack on the bottom of the telephone labeled “Headset”. You should hear a click once the handset is secured to the base. Ensure that the headset is placed on the headset cradle on the top of the phone.

  • Connect the USB cable into the battery pack. Battery pack should automatically power on. If it does not, turn on the battery pack by clicking on the small white button on the input side. (Battery comes full charged and will allow the Audio Guestbook to be powered on for 10-12 hours.)

  • Wait 10 seconds for the Audio Guestbook to initialize.

  • Pick up the handset and listen for the message.

  • Once you hear the tone, place the handset back on the handset cradle.

  • Now, your phone should be enabled. Pick up the phone to hear your customized message.

 

Now that you have confirmed your Audio Guestbook is working properly:

  • Now that the telephone has been tested or the event is complete, please disassemble by removing the handset and battery pack.

  • Make sure the handset is on the receiver, and you wait 30 seconds before unplugging. This ensures a safe shutdown to keep your messages safe!

  • Pack up the telephone in the box provided and now it’s ready to be taken to the event or to be shipped back to us.

IMPORTANT: After you have tested the Audio Guestbook, please remember to disconnect the battery pack.  The battery pack will last for 10-12 hours once connected and ready to use.

Complete these Steps at the Venue
on the Day of Your Event

On the day of your event, repeat steps from the “How to Setup your Rental” section.

We suggest that you set up the phone at least an hour before your event starts to ensure that it is set up and ready to start capturing your guests’ messages.

Helpful Hints

To ensure that you get the most out of your Audio Guestbook Rental please use these helpful hints:

  • When you receive your audio guestbook telephone, connect the hardware and take it for a test ride to ensure that everything is in working order!

  • Location Setup: Place your Audio Guestbook Rental in a location that has high guest traffic (on a table by the bar, at the welcome table, gift table, etc.)

  • Avoid placing the telephone near any speakers, in the direct line of your DJ/Band to avoid heavy background noise/music, or any other especially loud places that might interfere with the sound quality of your guests’ messages.

  • Place the guest signage/instructions provided with your Audio Guestbook to help people know what to do!

  • With the battery-powered option, you can easily move the phone from one location to the next, meaning you can have it setup for cocktail hour, then move it to your ballroom for reception to ensure you get the most visibility and use.

  • To get the most possible messages, please have your DJ/Band make announcements throughout the event that lets guests know that the telephone is there to help capture memories, just like you would with a traditional one.

  • Make sure to assign someone or your bridal party to oversee getting folks to leave their message and remind the DJ/Band to make an announcement.  

  • After your event, don’t forget to leave yourselves a message that you can listen to for years to come about your wonderful day!!!

Precautions

  • NEVER DISCONNECT THE POWER SUPPLY WHILE RECORDING A MESSAGE.

  • OPERATE INDOORS WHEN POSSIBLE. IF SETTING UP OUTSIDE, ENSURE THAT IT IS NOT IN DIRECT SUNLIGHT.

  • DO NOT OPERATE NEAR WATER OR ANY FLUID.

  • DO NOT TOUCH ANY WIRES AT THE END OF ANY CABLES OR ANY OUTLETS OR SOCKETS.

  • DO NOT CONNECT TO ANY PUBLIC OR PRIVATE TELEPHONE SYSTEM.

  • NOT FOR EMERGENCY CALLS.

What's next?

Shipping the Audio Guestbook Back to Us

​​After your event, you simply pack it up in the box with the return address label and send it back to us within the week after your event. 

  • Ensure that you securely pack and return ALL items in the original packaging. Failure to do so may incur additional costs.

  • Ensure all items that came with the original shipment are included before closing the box.

  • Remove any old shipping labels, seal the box, and attach the included pre-paid return shipping label on top.

  • Return the box to any UPS Store location. 

 

Once the device is returned and received, we will begin the retrieval process of the messages from your event.

  • You will receive an email confirmation that the Audio Guestbook has been received and additional information for finalizing your files will be included in the email.

  • You will receive your digital files, and audiograms (the files overlayed on a photo of choice, perfect for sharing on social media) via a drop box link.

    • We will need you to provide the image that you would like us to use so that we can finalize your files.
